Reporting to the Director, Community Operations – Kivalliq, the Administrative Assistant is a member of the Community Operations Support Team, and provides reception and general administrative support and records and information management services for the Division.

The incumbent Provides reception, financial and human resources support services for the Division by  Representing the Department as the Receptionist and first point of contact to provide professional and efficient responses to queries, directing visitors to the appropriate staff, divisions or departments, Answering telephones, maintaining an incoming telephone call log and referring messages to staff for effective and professional communications, Ensuring the reception area and general office is tidy at all times, Preparing correspondence and other materials for mailing and shipping, Managing incoming mail by sorting, logging and distributing it to recipients, Accurately maintaining and enforcing the Department Attendance Register with the Government of Nunavut Attendance Guidelines, Monitoring employee absences and tracking Request for Leave forms, Maintain and Reconcile daily attendance registers with leave and attendance records for employees as required by the Nunavut Employees Union Collective Agreement and the Excluded Employees Handbook, Reconciling Attendance Register at month-end and forwarding to Leave & Attendance, Assisting with preparing financial documents for verification and payment and Assisting the Senior Finance & Finance Officer to enter financial data into computerized systems.

The incumbent must have Computer proficiency including use of Microsoft Office, Word, Excel, & PowerPoint; Proficiency in operation of Records Information Management System (RIMS) Software and oral and written communications skills to convey information so that it can be understood by recipients.

To be invited for an interview, the candidate of choice must have completed Grade 12 or GED and recent receptionist and/or secretarial experience.

Fluency in more than one of Nunavut’s official language is an asset.

Equivalencies that consist of an acceptable combination of education, experience, knowledge, skills and abilities may be considered.

Knowledge of Inuit language, communities, culture, land and Inuit Qaujimajatuqangit is an asset.
