Reporting to the Deputy Minister (DM) of Family Services located in Iqaluit, the Executive Coordinator performs and provides executive support and a wide variety of administrative tasks that are highly confidential and sensitive. The Executive Coordinator is responsible in managing the flow of documents between the DM and Assistant Deputy Minister’s (ADM) office, other divisions within the department, other Government of Nunavut (GN) departments and other organizations.
The incumbent provides secretarial support by: researching, compiling and preparing confidential and sensitive documents and briefs the DM regarding the content; accurately transcribing correspondence, briefing notes, minutes, reports, information items, cabinet submissions, from hand written notes or cut and paste notes; managing DM log and scheduling meeting on behalf of DM; log and track incoming/outgoing mail on computerized mail system, and photocopying and scanning documents for Ministerial, as well as DM and ADM correspondence; establishing and maintaining various filing and records management systems for the DM; making and preparing travel arrangements and travel authorizations and claim forms and arranging hotel arrangements.
The knowledge, skills, and abilities required for this job are usually obtained through a High School Diploma, plus a certificate in Office Administration, along with one (1) year of related experience.
The Official Languages of Nunavut are Inuktitut (Inuinnaqtun), English and French.
Fluency in more than one of Nunavut’s official language is an asset. Knowledge of Inuit language, communities, culture, land and Inuit Qaujimajatuqangit is an asset.
Equivalencies that consist of an acceptable combination of education and experience may be considered.
